We live in a hustle culture that glorifies being "always on."But here’s the truth:📵 You can log off and still be committed.🧠 You can say “not now” and still be driven.💬 You can speak up for yourself and still be a team player.
As an administrative professional, I was trained to catch the small things—calendar conflicts, typos in documents, misplaced files, and last-minute requests. But those small things weren’t just busywork. They taught me how every task connects to a larger goal.
That attention to detail is now what helps me manage complex projects: tracking dependencies, monitoring timelines, and keeping quality standards high.
In administrative roles, you’re the go-between—between managers and staff, vendors and clients, and internal teams and external partners. You learn how to listen carefully, speak clearly, and write professionally.
We had the pleasure of interviewing Ariana, an executive assistant in Canada. It was a very insightful interview, and Ariana was kind enough to share her experience and professional journey with us.
Ariana’s journey to being an EA began with her having a background in psychology and sociology. She started out with customer experience roles, as she loved facilitating positive experiences for people and is very passionate about psychology.
Project management looks simple on paper—deadlines, deliverables, and checklists. But in reality, it’s a world of shifting timelines, unexpected changes, and learning as you go.
Too often, leaders see assistants as task-takers. The real magic happens when you shift from delegation to collaboration—amplifying your leadership, protecting your time, and scaling smarter.
Give context behind tasks—objectives, constraints, and decision criteria. Context unlocks initiative and lets your assistant anticipate next steps without constant follow-ups.
Agree on rhythms and formats: bullet-point daily summaries, 10-minute standups, or a Friday wrap. Clarity in cadence = alignment on priorities.
Share calendars, project plans, and pain points. Access fuels proactivity: with visibility, your assistant can preempt conflicts and move work forward.
Invite them to flag risks, gaps, or reputation-sensitive moments. Give explicit permission to recommend options—not just execute tasks.
Publicly acknowledge outcomes they enabled—fewer meetings, faster decisions, rescued timelines. Recognition compounds motivation and ownership.
Pro Tip: Partnership isn’t just about efficiency—it’s about bandwidth. Every minute your assistant saves is a minute you can reinvest into vision, leadership, and growth.
